Terms & Conditions for Domestic Tour

For all communication regarding Tours/Travel Services and bookings, kindly address M/s. India Magical Trip.

Booking:


Once your booking is confirmed, you are entering into a contract with M/s. India Magical Trip. This contract becomes valid when we acknowledge your tour or travel service booking and have successfully received your deposit.

Payment:


To secure the services you've selected, a down payment of 25% of the total cost must be made to M/s. India Magical Trip. This deposit ensures your booking is confirmed.

Balance Payment:


The remaining balance should be paid 15 days before the beginning of the services. If any booking is made within 15 working days of the service start date, it will be considered a late booking and the total cost must be paid upfront.

Note:


For special train journeys and hotel or resort bookings during high-demand periods (such as Christmas, New Year, Pushkar Fair, Diwali, etc.), full payment must be made at the time of booking.

Payment Methods:


Clients can choose to pay through any of the following methods:

Note:


Payments must be made in full without any withholding tax or deductions.

Any bank charges incurred for remittance (either by the bank making the remittance or by an intermediary bank) will be solely borne by the client.

If payment is made through a QR code using a credit or debit card, the associated bank charges must be covered by the client.

Important Reminder:


An employee or representative of M/s. India Magical Trip (IMT) will never ask for your Net Banking login details, password, OTP, etc. They also won't request you to transfer funds to a personal account or install third-party apps such as Any Desk, TeamViewer, etc.

Do not respond to such requests. Report any such incidents to info@indiamagicaltrip.com

Cancellation, No Show, Early Departure Policy:


In the event of tour/travel service cancellation due to any circumstances, we must receive written notice. Cancellation charges will apply from the date we receive the written notice, as follows:

If cancellations are made 60 days or more before arrival, a fee of 10% of the tour or service cost applies.

If the cancellation takes place between 59 and 30 days before arrival, the fee amounts to 20% of the total cost.

Cancellations made between 29 and 15 days in advance of arrival incur a 25% charge of the tour or service cost.

If you cancel between 14 and 8 days before arrival, a fee of 50% of the total cost applies.

Cancellations 7 days or less before arrival, or in case of a no-show, will not be refunded.

Note:


1. Regardless of the cancellation policy outlined earlier, if you (the client) cancel the tour or travel services for any reason after booking with us, a minimum service charge of 10% of the total package cost will be applied.

2. If M/s. India Magical Trip (the company) cancels the tour or travel services after the booking has been made, two options are available:

   o We will issue a Credit Note for the paid booking amount, which you can use for any future travel for yourself, family members, friends, or any other person as recommended by you.

    o If you prefer a refund, a minimum service charge of 10% of the total package cost will apply, and the remaining amount (after this service charge deduction) will be refunded.

    In both situations, any cancellation charges related to tickets, hotel booking, travel services, and guide services will be deducted from the client.

3. If you cancel your trip after it has started, any refund will be limited to the amount we can recover from the hoteliers, airlines, transporters, and other suppliers we patronize. We are not liable to refund any unused hotel accommodation,  transportation, flight tickets, missed meals, and other services.

4. For special train journeys like Palace on Wheels,  Golden Chariot, Deccan Odyssey & Maharajas Express, a separate cancellation policy will be provided as necessary.

5. Please Note - No refunds will be made for cancellations during the following periods, regardless of the reason:

    o Festival Period Bookings (Diwali, Dussehra, Holi, Pushkar fair, etc.).

    o High Peak Season bookings (from 20th December to 15th January).

    o Long Weekends Bookings.

6. Cancellation charges are based on the total booking amount, not just the advance deposit.

Refund:


Unused or unutilized services that are prepaid and canceled will be refunded based on the cancellation policy described earlier. The refund will be processed to the person who made the payment. Please note that the refund process might take 2-4 weeks due to banking procedures. If the refund is made to a credit card or bank account, any bank charges will be deducted from the refund amount.

Mandatory Identification Document:


All guests (Foreign Nationals, NRIs, and Indian Nationals) must provide a Photo ID at the time of tour booking confirmation. The necessary documents for different categories are:

Foreign nationals – Passport and Visa copies are mandatory.

Non-Resident Indian (NRI) clients – A passport copy is mandatory.

Overseas Indian clients holding OCI/PIO cards – Copies of passport and OCI/PIO card are mandatory.

Domestic clients – Driving License, Voter ID Card, or Passport copy is mandatory.


Arrival and Departure Policy:


Check-In Timings: 1200 - 1500 Hours

Early check-in is subject to availability. For guaranteed early check-in, reservations should be made from the previous night.

Check-Out Timings: 1000 - 1200 Hours

Late check-outs are available on request and are subject to availability/payment.

Extra Vehicle Use:


Please be aware that the cost of extra use of vehicles (cars/coaches with drivers) is not included in our services. Therefore, any additional usage of the vehicle, beyond transfers or sightseeing, is prohibited.

Special Note for Helicopter Travel:


Helicopter ticket prices and availability are subject to change at any time. While M/s. India Magical Trip (IMT) makes every effort to provide helicopter flights, unforeseen circumstances such as sudden changes in weather, VIP movement, or other last-minute situations may result in the service becoming unavailable. In these instances, IMT will strive to arrange alternative helicopter transport on the same day or on an alternate date, depending on helicopter availability at that time. Tickets will not be carried forward to the next day, and no compensation, reimbursement, or payment will be made for accommodation, meals, or transport costs resulting from helicopter cancellations.

Our Liabilities & Limitations:


Please note that if there are increases in entrance fees for monuments/museums, taxes, fuel costs, or guide charges by the Government of India after the finalization of the tour/service cost, these additional charges will be added to the client's bill.

The rates set by M/s. India Magical Trip are based on current rates as negotiated with hotels, airlines, and other service providers. These entities reserve the right to alter their rates without notice, and in such cases, the rates quoted by us before such changes can be adjusted in accordance with these alterations.

M/s. India Magical Trip and its partners act purely as agents for hotels, airlines, transport companies, railways, and contractors offering other services. All vouchers, receipts, contracts, and tickets issued by us are subject to the terms and conditions under which these services are provided. The tickets or contracts used by the service providers shall constitute the sole contract between the clients and the service providers.

M/s. India Magical Trip's itineraries are indicative and are intended to provide a general idea of the probable trip schedule. Various factors, such as weather, road conditions, the physical fitness of the participants, etc., may necessitate changes to the itinerary either before or during the tour. M/s. India Magical Trip reserves the right to amend any aspect of the itinerary, including transport and accommodation, without notice, in the interest of the trip, comfort, participants' safety, and general wellbeing, without offering any discount, allowance, or refund. Any additional costs incurred as a result would be payable by the client.

M/s. India Magical Trip shall not be responsible for any delays or changes in the program or expenses incurred or any special/consequential loss, injury, and damage—direct or indirect—due to natural hazards, flight cancellations, accidents, breakdowns of machinery or equipment, transport failure, weather conditions, sickness, landslides, political closures, acts of God, risks associated with sea travel, floods, fire, governmental acts, wars, civil disturbances, riots, theft, pilferage, epidemics, quarantines, changes in medical or customs regulations, defaults, or any other factors beyond our control or any unforeseen incidents or any other causes whatsoever. Any liability or additional expenses incurred by the clients as a result of the above-mentioned causes will be the responsibility of the clients.

M/s. India Magical Trip is not responsible and will not accept any liability for any loss of property or personal injury, including loss of services, that clients may suffer due to the actions, negligence, or failure of any transportation company, hotel agents, or any other entity, its agents, or service providers that provide services or facilities. This applies whether the loss or injury is caused by vehicles or equipment provided by these entities or used in their service, no matter how the loss or injury happened. Clients who use sports equipment, bicycles, sailing boats, scuba diving gear, whether rented or supplied by hotels or rental agencies, do so at their own risk.

M/s. India Magical Trip does not have any insurance policy covering expenses for accidents, sickness, theft loss, or any other reasons. Clients are advised to seek such insurance arrangements in their home country. All baggage and personal property are at the client's risk at all times.

M/s. India Magical Trip reserves the right to cancel any services if it considers that the tour, trip, or journey is not feasible for any reason, or if circumstances warrant such action. In such cases, the value of the canceled services will be refunded, and the client shall not have any further claims against the company.

M/s. India Magical Trip reserves the right to refuse to fulfill its contract with any person it considers undesirable at its absolute discretion and is not required to provide a reason for doing so

Force Majeure:


M/s. India Magical Trip (the company) and any of its parent companies, subsidiaries, affiliates, directors,  agents, employees, suppliers, and their respective successors, heirs, and permitted assigns, shall not be held responsible for or be considered to be in default due to any failure or delay in performing any of its obligations herein, in whole or in part, if such performance is made impracticable by acts of war (declared or undeclared), sabotage, embargo, acts of terrorism, riots or other civil unrest, transportation failures, actions of any government or court or administrative agency, acts of God, fire, explosion, flood, earthquake, strikes, government actions, or other catastrophes, pandemics, epidemics, disease outbreaks or quarantine restrictions, or other cause(s) beyond the reasonable control of M/s. India Magical Trip, known as "Force Majeure".

Both M/s. India Magical Trip (the company) and the client (you) shall exert their best efforts to avoid, overcome, and offset the effects of any cause or potential cause of an event of Force Majeure. When the cause of the Force Majeure ends, the terms and conditions herein shall again become fully operative. However, a Force Majeure event will not relieve M/s. India Magical Trip (the company) and the client (you) of the obligations that accrued prior to the occurrence of the Force Majeure.

Jurisdiction Clause:


All disputes arising from this agreement or any subsequent agreement will be subject to the jurisdiction of the courts of Delhi only.

Special Note:


Terms & Conditions for travel to the Andaman & Nicobar Islands and Lakshadweep Island will be separate and will be advised on a case-by-case basis.

Terms & Conditions for group bookings will also be separate and will be advised on a case-by-case basis.

Tips Before Travel

Bring multiple copies of your passport when you travel.
